Accessing Your Grades
Grades are accessed through MyUCLA. All grades for a completed term are accessible through MyUCLA no later than two weeks after the last day of final examinations. If grades are not available, they have not been received from the instructor or are still being processed. If a grade is missing, contact the instructor or the department that offered the course. Do not call the Registrar’s Office directly for grades. If a grade is different from what was expected, contact the course instructor for explanation.
Finality and Revision of Grades
All grades except DR, I, and IP are final when filed by the instructor in the end-of-term course report. Thereafter, a grade change may be made only in case of a clerical or procedural error or other unusual circumstances. No grade may be revised by re-examination or, with the exception of the I and IP grades, by completing additional work. Students who are dissatisfied with a grade may request a review of their work with their instructor and an explanation of the grade assigned. All grade changes are recorded on the transcript. Incomplete (I) Grades
An instructor may assign the I grade when work is of passing quality but is incomplete for a good cause (such as illness or other serious problem). Once an Incomplete (I) grade is assigned, it remains on the transcript along with the passing grade a student may later receive for the course. If the work is not completed by the end of the next full term in residence, the I grade lapses to an F, NP, or U as appropriate. The College or school may extend the completion deadline in unusual cases. Graduate students should consult their departmental adviser. Students who have good cause may request an Incomplete by speaking with the Instructor and contacting the academic program unit. Requests must be made via the Incomplete petition form which is reviewed for approval/denial by the instructor and program director.
Instructor Responsibilities and Grade Submission Methods
The instructor in charge of a course is responsible for determining the grade of each student in the course. The standards for evaluating student performance is based on the course description as approved by the appropriate course committee. Faculty must submit final grades electronically, through MyUCLA Gradebook or Gradebook Express, by the published deadline. With MyUCLA Gradebook, instructors can manage their classes throughout the term and submit final grades. If they only want to submit final grades, they can use Gradebook Express. Both applications allow instructors to set up TAs or other assistants to help them enter grades, but only the faculty member in charge of a class can submit final grades. Grade Submission Deadlines
Instructors must submit grades no later than 10 days after the last day of finals for fall, winter, and spring terms, and no later than 10 days after the last day of any given summer session. For grading deadlines in Summer Sessions, see the Summer Instructor Guide.
Late Grade Submission
Beginning two days after the deadline has passed, instructors should use the Late Final Grades section of the Gradebook feature on MyUCLA to report previously unsubmitted grades on a student-by-student basis. Alternatively, instructors can use standard UCLA Report of Academic Revision forms to report late grades. A separate form must be used for each student. After the deadline, until final grades are received and recorded by the Registrar’s Office, a student’s transcript shows an NR (No Report) grade for the class.
Final Examinations Policies
Policies cover location, duration, and retention of final examinations. Final examinations are generally held in the same rooms as class meetings; however, by prior arrangement with the Registrar’s Office, common final examinations can be scheduled and additional room locations may be booked. Final examination locations are displayed Monday of the ninth week of the term in the Schedule of Classes and in MyUCLA. It is the student’s responsibility to make sure final examination times do not conflict by checking the Schedule of Classes. The instructor’s methods of evaluation must be announced at the beginning of the course. Final written examinations may not exceed three hours’ duration and are given only at the times and places established and published by the department chair and the registrar. [UCLA Academic Senate regulation A-332(A)] An instructor shall, if he/she so wishes, release to individual students their original final examinations (or copies). This may be done by any method which insures the student’s right to privacy. Otherwise, the instructor shall retain final examination materials, or a copy thereof, until the end of the next succeeding regular quarter of instruction, during which period students shall have access to their examinations.
