How do I audit a student's GPA to check out the calculations / verify the information is correct?
You can pull up the student in question via Student Data>Modify Student>GPA. Click on the GPA code in question, and you'll see the GPA audit. This includes all of their courses, their weight etc. This allows you to see how the calculation was made.
If something is missing, and you need to modify a curriculum file, you would most likely need to run grade maintenance via Grading>GPA/Rank>Maintenance first to get the latest grade info, and then re-run GPAs, and then re-run Ranks. That will allow you to get the updated grade information for the kids. (You can also always run grade maintenance for individual students via Student Data>Modify Student>GPA, as well as GPAs.)
There seems to be a discrepancy for some of our students between the GPA formula and GPA record. Why would there be a difference?
At the bottom of the GPA Audit screen shown above, there are two GPA values listed, and it is important to know the difference.
GPA Formula - This represents what the student's GPA will be if the GPA were to be recalculated right now.
GPA Record - This represents the GPA value that Genesis currently has for the student. It is possible for this GPA to be different than what is calculated. This can occur when grades have been changed; but the GPA was not re-calculated. This is the GPA that prints on the transcript.
NOTE: If the two values are different, than the GPA is most likely inaccurate, and needs to be recalculated.
If the values are different, you should use the "Re-calculate credits, quality points and pass / fail on grades for" tool on this screen to recalculate grade information first for the student. And then you can re-run the GPA codes you need using the "Recalculate GPA record" tool.
