Western Kentucky University Transcript Request: A Comprehensive Guide
Western Kentucky University (WKU) maintains the official academic record of every student through the Office of the Registrar, serving as the permanent repository for this crucial information. This article provides a detailed overview of how to request and manage your WKU transcript, incorporating information about access, security, and related processes.
Accessing Your Academic Record
WKU students have convenient online access to their academic records via TopNet. This platform, accessible using a Net ID or WKU ID and password, allows students to view their class schedule and obtain grades at the end of each term. This online access is secured in accordance with the Family Educational Rights and Privacy Act (FERPA), ensuring the privacy and confidentiality of student information. The Office of the Registrar also collects and updates biographical and demographical information about each student. It is the student’s responsibility to keep the Office of the Registrar informed of their correct local, permanent, and billing address; changes may be made online through TopNet. Registration services and drop/add activities are also available through TopNet.
Security and Preservation of Academic Records
The security and preservation of academic records are paramount. Electronic academic records are backed up nightly to prevent data loss. For permanent academic records created prior to 1990, WKU employs a dual backup system, utilizing both microfilm and digital imaging. This comprehensive approach ensures the longevity and accessibility of these vital documents.
Official Transcript Requests
Official transcripts are released only upon written request from the student. This policy ensures that transcripts are only sent with the express consent of the student, safeguarding their academic information.
KIIS and Transcript Procedures
For students participating in Kentucky Institute for International Studies (KIIS) programs, WKU serves as the Sponsoring Institution, adhering to its academic and accreditation standards from the Southern Association of Colleges and Schools (SACS). KIIS adheres to all of the applicable regulations of Western Kentucky University (WKU) and utilizes WKU’s academic and accreditation standards from the Southern Association of Colleges and Schools (SACS). Approximately three weeks after the completion of a study abroad program, grades will be posted on the KIIS account.

Official Transcripts are sent automatically from the WKU Registrar to the institution listed in the KIIS account at the time of application; no additional steps are needed. The home institution (Registrar or Study Abroad office) will require additional time on its end to process the KIIS-WKU transcript once received. If transferring to another institution (e.g., graduate school) after the KIIS program, contact the WKU Registrar directly to request the transcript be sent to the additional institution.
Commencement and Degree Conferral
WKU holds two commencement ceremonies annually. The May ceremony recognizes students who complete all degree requirements at the end of the spring semester or who demonstrate all requirements can be fulfilled during the summer term.
