Schedule Change Requests

Any modifications to the schedule require a Schedule Change Request Form (PDF), signed by the Dean and Chair, and submitted through the HelpDesk.

New/Revised Course Catalog Form

Items necessitating updates to the Course Catalog Form require submission of this form, signed by the Dean’s council, the department Chair, and the Provost’s Office. Exceptions are listed on the document. The Provost’s Office then submits the forms to Academic Scheduling via the HelpDesk.

New Topics Courses

New Topics Courses require a completed form submitted to Academic Scheduling through the HelpDesk but do not require submission to Dean’s Council or the Provost’s Office.

Expediting Schedule Updates

All schedule, course, and section changes must be submitted to Academic Scheduling via a signed and completed Schedule Change Request form (PDF) by the department’s Associate Dean, Chair, or designated assignee through the HelpDesk before any updates are made.

Semester course offerings can be found on Schedule Explorer or the Academic Catalog, accessible through the Pace Portal.

Faculty Assignments

Event Scheduling

Academic Scheduling creates Ad Hoc Reservations for Class Events, including Course Subject, Course Number, CRN, capacity, and reservation dates, typically outside the section’s assigned meeting pattern. Non-class events are handled by the Special Events or Student Development and Campus Activities Departments.

Classroom Accessibility

For students requiring special accommodations for classroom accessibility, the department Chair or Associate Dean must contact Academic Scheduling with specific requirements. Location availability will be analyzed to accommodate the student’s needs.

Instructor Room Requests

All faculty questions, concerns, or requests for Academic Scheduling must be submitted directly from the Department Chair/Director through the HelpDesk. While specific room assignments cannot be guaranteed, efforts will be made to accommodate room type needs.

Degree Audit and Verification

Receiving Degree Audit/Verification

Degree verifications are sent to students during the semester they are expected to graduate. Students can view their Degree Works report for their graduating status. Contact an academic advisor for any errors or discrepancies.

Incorrect Degree Verification

Exceptions to Degree Works must be approved by the department and submitted in writing. Students should contact their academic advisor for discrepancies, and the advisor will reach out to the degree verification staff to submit waivers or substitutions.

Waiver/Substitution Processing Time

Substitution or waiver forms should be submitted through a support request to the Office of the Registrar. Forms are typically processed within two to three business days. Once processed, the updates are immediately visible in Degree Works.

Degree Conferral Timing

Degrees are conferred approximately three weeks after the semester ends, once all grades have been submitted. Students can review their Degree Works report to check for outstanding requirements or pending grades.

Confirming Degree Awarded

Students whose programs are in Degree Works will be able to see that their degree has been awarded there. All students can check their degree status by viewing their unofficial transcript on the Pace Portal.

Diploma Delivery

Diplomas are typically sent 6-8 weeks after the close of the class. Allow 8-10 weeks from the date the semester ends before inquiring about the diploma. Damaged diplomas must be returned before a new one can be ordered.

Changing Majors

Students must submit a Declaration or Change of Major form with the necessary signatures from the Department.

Major Listing Errors in Degree Works

If a major is listed incorrectly in Degree Works after submitting the Change of Major form, contact the Registrar for an update. If the form has not been submitted, schedule an appointment with an advisor.

Major Change Visibility

Once a student’s major has been changed, it will be immediately visible on their portal. Degree Works will be updated the following morning.

Grade Change Updates

Grade changes can take up to 24 hours to update in Degree Works and on the Pace Portal. If the change is not reflected after 24 hours, contact the Registrar's office.

Missing Transfer Credits

The form must be signed by the Dean of the School/College of the student’s major before submitting it.

Returning After Leave of Absence

Students who have taken a Leave of Absence must submit a Resumption of Studies application through a support request to the Office of the Registrar. All courses for the term of the Leave of Absence must be dropped prior to submitting the request.

"Your School Was Unable to Find Your Record" Message

If you receive the message “Your School Was Unable to Find Your Record” during the ordering process, verify that all information has been entered correctly. If you attended prior to 1985 or attended one of our Custodial Schools (Briarcliff College, Bennett College, etc.) and have not previously ordered a transcript, your records may take additional time to locate.

Obtaining Unofficial Transcripts

Unofficial transcripts are available via Pace Portal for current students. Former students or alumni can request their completed transcript online via the National Student Clearinghouse.

Enrollment and Degree Verification

Submit an Enrollment and/or Degree Verification form to obtain these verifications.

College Report/Transfer Report and Midterm Report Completion

Verify with the transfer school which forms require completion. Midterm reports are typically completed by individual professors. College Reports/Transfer Reports that require only verification of your Academic record such as GPA, standing, and dates of attendance can be submitted to the Office of the Registrar through a Helpdesk ticket.

Third-Party Enrollment or Degree Verification

Submit requests through the National Student Clearinghouse verification page.

Final Official Transcript Indicators

A final transcript should not have any errors, incomplete information, or discrepancies in grades or course details. It should include verified final grades, all completed courses (including electives), accurate GPAs, confirmed graduation status, and accurately documented transfer credits.

"In Progress" Courses on Transcripts

A transcript with "in progress" courses is not considered final. A final transcript only shows completed courses with final grades.

Submission of Previous Transcripts During Admission

Pace University requires official transcripts from all previous schools attended during the admission process. All other Institutions must send the transcripts to Pace University, directly, for it to be considered Official, on a university level.
