Understanding Your GVSU Student Account: A Comprehensive Guide
Navigating your student account at Grand Valley State University (GVSU) is crucial for a smooth and successful academic journey. This article provides a comprehensive overview of student accounts, covering billing, financial aid, payment options, FERPA, and the various units within the Student Assistance Centers that are available to assist you.
Understanding Your GVSU Bill
As a GVSU student, you will receive a bill for each semester you are enrolled. Your bill will outline all Grand Valley related expenses and any financial aid you have accepted. It is important to carefully review your e-bill to understand all charges and credits. Access your e-bill by following these instructions.
Financial Aid and Your Bill
All financial aid that you have accepted and for which you have completed the requirements will show as a credit on your student bill. If you have accepted aid, and it is not listed on your bill, there is something further that needs to be done. If your financial aid is not posted as a credit on your bill, you could have outstanding requirements. Contact the Student Accounts Office if you have any questions about what you are missing.
Excess Financial Aid
If you have accepted financial aid funds in excess of your charges, these excess funds will be refunded to you during the second week of classes. You can check to see if you have a credit balance due to excess financial aid, and the amount of any credit balance, by viewing your e-bill. Students also have the option to use any excess financial aid funds to purchase text books through the University Bookstore by using their student ID. This option is available two weeks prior to the start of each semester and will continue through the drop/add period of the semester. After that point in time any excess aid will be refunded via direct deposit or paper check.
Payment Options and Due Dates
Any amount owing must be paid by the due date listed on the bill. It is very important to pay attention to this date. You are able to pay your bill online or in person. Please review these carefully when making your payment.

Understanding FERPA and Third-Party Access
FERPA is a Federal law that stands for the "Family Educational Rights and Privacy Act." This law protects the privacy of the student's education records. Providing this consent allows the Student Accounts Office to discuss your account with a third party, such as your parents. Students can add individuals as authorized payers by logging into Self-Service Banner, clicking on the Student tab, then Student Account, and then Student Account Information. This is separate from the rest of the Guardian/Family Access. From there, they can "Send a payer invitation".
Student Assistance Centers: In-Person Support
Need Help? Student Assistance Centers are walk-up window locations to assist with any questions you may have in person. The student assistance centers also handle payment transactions (any payments made at our windows must be made with a check or a reverse ATM card) and create student IDs.
Records Unit: Managing Your Academic Transcript
The Records unit is in charge of creating and maintaining all data necessary to produce a student transcript. The Records unit staff act as School Certifying Officials in support of our student Veterans receiving VA educational benefits. This unit processes grade changes, applications for reentry/readmission, transcript requests, and enrollment verifications.
Auditing Unit: Ensuring Graduation Requirements
The Auditing unit works closely with advising centers and faculty advisors to ensure that students have completed all necessary requirements to graduate. This unit handles degree audits (including myPath exceptions), processes catalog year changes, awarding of degrees, and ordering diplomas.

Transcripts Specialists Unit: Transfer Credits
The Transcripts Specialists unit works with academic departments to distribute transfer credit evaluations. In addition to loading and evaluating transfer credits, the unit also processes AP, IB, and CLEP scores for students.
Registration Unit: Course Schedules and Enrollment
The Registration unit works closely with academic units to prepare and publish the annual course schedule and the annual course catalog. This unit also processes late add and withdrawal forms, assists students with registration questions, and handles room reservations.
