Exxat Prism Student Login Guide: Accessing and Navigating Your Account
Exxat Prism is a comprehensive platform designed to manage academic and placement-related information for students in various healthcare programs. This guide provides a detailed walkthrough of the login process, student dashboard features, and essential functions within Exxat Prism.
Gaining Access to Exxat Prism
Before you can begin using Exxat, you’ll need to get added to the system and invited to the system. There are generally two ways to access Exxat Prism:
Single Sign-On (SSO) Accounts
Single Sign-On (SSO) allows users to use one set of login credentials to access multiple applications.
- Login to your school portal.
- Click on the hyperlink to go to Exxat.
- You’ll be redirected to Exxat.
Standard Login
- With a general account, you will be sent an invitation which will provide you with a link to set up your password and access your account.
- You’ll be redirected to Exxat Prism.
- Enter your new password following the guidelines.
- Click on the Submit button once ready.
- You’ll then get a confirmation message letting you know your password setup was successful.
- You can now login to your account! Then click on the next button.
- Before you can login, you must agree to Exxat’s Privacy Policy and Terms of Use. Click on the privacy policy and terms of use hyperlinks to view the related documents. Click on the Accept button when you are ready.
- You’ll be redirected to Exxat. The system will inform you that your account activation is in progress.
- Login to your school portal. Before you can login, you must agree to Exxat’s Privacy Policy and Terms of Use.
First Login and Account Setup
Upon initial access, several steps are crucial for setting up your account:
- Activation: After activation, complete your profile and upload the required documents for your program.
- Privacy Policy and Terms of Use: Before you can log in, you must agree to Exxat’s Privacy Policy and Terms of Use.
- Multiple Programs Access: Your school may want to provide you access to multiple programs. Your school can achieve this by setting up dual enrollment access for you. If they set up dual enrollment access for your account, when you login you will be taken to a page like this one: You can click on one of the program cards to access the dashboard of that program. Please Note - Your Profile will not be synchronized across all programs. You will needs to update your profile details separately within each program.
Navigating the Student Dashboard
When you first log in using your login credentials you will land on the Exxat Prism Dashboard. The new student dashboard is divided into three sections, left pane, right pane and middle pane. You can now efficiently access your profile details, track experiential progress, review announcements, and manage pre-placement tasks. You’ll first land on the dashboard, which may contain the following sections:

Left Pane: The profile section contains the information that you fill out about yourself. Throughout this section you will see edit pencils; clicking these allows you to make changes or additions to the information contained in each section. You will also see add icons (+). You may be asked to send your profile to Site Contacts prior to starting a placement. The link contained in the message will take them directly to the information contained in your “Profile” section along with your “Contact” and/or “Compliance sections based on the options you selected. No login information is needed to access the link. Be sure to read the Guidelines for Students section on the left to learn what type of documentation your program requires. This section is your Go-To while you prepare for a placement. Your program will register you for any courses you need to be associated with.
Middle Pane:
- To Do List: this is your list of assignments you will complete during your placement. Your program may assign any clinicians who will be supervising you during your placement. If this is the case, their information will be displayed on your To Do List. They may also request that you provide % of supervision. This type of learning activity will require you to upload a file for your placement course. This learning activity will require you to complete a form. When entering patient logs, make sure you are logging them within your placement dates. Your program may set a defined window where a log must be created within a specific number of days. For example, your program may only allow you to enter logs within 5 days of the patient encounter. You can edit all patient logs (except the date of encounter field) while they are In Progress or a Submitted status. When completing timesheets, make sure you are entering times within your placement dates. Your program may also set a defined window for entering and editing past timesheets. For example, your program may only allow you to edit timesheets within the past 5 days prior to being approved. Your program may allow you to submit timesheets for future dates. You can edit all fields within a timesheet and delete entries until it is approved. Once approved, you cannot make further edits or delete an entry. Life happens, and during your placement, you may need to miss time in clinic! Administrative Personnel vs.
Right Pane: The right pane displays Compliance and Pre-placement Task information and QR scanner to download the student mobile app.
Key Dashboard Features
The Exxat Prism Student Dashboard offers several key features:
- Edit Profile: Click Edit Profile to view and edit your profile details.
- Total Approved Hours: Click Total Approved hours to view and edit timesheet related information. For more information related to timesheets, go to Completing Timesheets > Timesheet Reports.
- Total Approved Logs: Click Total Approved logs to view and edit patient log related information. For more information related to patient log, go to Completing Patient Logs.
Note: The above cards are configurable based on the domain requirements. In cases where patient logs or timesheets are not utilized, these cards are not displayed. Additionally, for domains where patient logs are tracked by total hours rather than counts, the cards will display hours instead of counts.

- Calendar View: Displays placements in the calendar view. The calendar highlights the current date and if there are more than one placement, then you can navigate between placements using arrows.
- Details Card: The details card displays course offering name, date, and placement location. You can hover on the location and click View Direction to open the location in google map.
- Action Required: Displays the attestations and requirements information required for you to submit for your placement. Click View Requirements or View Attestations to agree and review the attestations.
- Upcoming Placement: Includes course offering name, blue tag, compliance status, location, rotation details, clinical instructor, patient logs, and timesheet information.
- Current and completed Placement: Includes course offering name, blue tag, compliance status, location, rotation details, clinical instructor, patient logs, and timesheet information.
- Patient Logs: Configurable cards that display total logs, approved logs, and need attention for the patient logs.
- Timesheets: Configurable cards that display total, approved, and pending logs and hours.
- Forms and Evaluations: Displays the count of forms to be filled with View All.
Note: The Patient Logs, Timesheets, and Forms and Assignments are configurable based on the domain requirements. In cases where patient logs or timesheets are not utilized, these cards are not displayed.
- My Coursework: Displays the total number of courses you are registered for.
Managing Student Data (for Admins)
Exxat Prism allows administrative personnel to manage student data effectively.
Adding Students
Once a new cohort is admitted, you will want to give them access to Exxat Prism! You can add individual students, or bulk import multiple students at a time. The page will load all the students in the system.
- Adding Individual Students: A drawer will open where you can enter the student details. Adding the student automatically register the student to all the courses in the selected cohort. You can choose to not to register the student to the courses and do it later by unchecking the box at the end of the Add Student drawer. The newly added student will show on the top of the grid after successfully adding them as 'Active'.
- Bulk Importing Students: The system will display any previous bulk imports. A drawer will open with three steps. Add in the data for the students you’d like to import on the template. Some fields require information to exist in the system before you can associate it with any students. The Student ID field will remove zeros from ID numbers that begin with a zero. If providing date of birth, enrollment date, or graduation date, please change the format to Text before adding data. On step 3, the system will show you any errors or warnings. A validation message will appear. The drawer will close, and your import will be listed and show as In Progress. Once successful, the status will update, and your students will be loaded in the system as 'Active'!
Inviting Students
Students must be invited to Exxat Prism in order to fill out their profile, see placements, and more. A drawer will open showing you a 3-step process you’ll complete to send invitations. The first step will list all the students you are inviting. The grid will update showing you when you last sent an invitation along with time stamp in the "Account Status" column.
Editing Student Information
To update the basic information of the student profile (Demographics), follow the below steps:

- Click on the student’s name as shown in below screenshot:
- It will open the student profile, where admins can update the academics and the profile information of the student.
Deleting/Inactivating Students
You will be able to delete the students for which the learning activity data such as patient log, evaluations, timesheets etc has not been submitted. The newly added student will show on the top of the grid after successfully adding them. Instead of permanently deleting a student from the system, you have the option to mark the student status as 'Inactive'. To change a student's status between active and inactive, or to reactivate them, click on the student’s name. Next, click the edit pencil icon next to the Status field. A Drawer will open which will show us all the data associated with the student and if you delete the student, you will lose all that data. However, you cannot delete the student if there is any learning activity completed by them. When you try to delete the students who have completed some learning activity data you will not be allowed to complete the action.
Resetting Your Password
If you have forgotten your password for Exxat Prism, you can easily reset it by following the below steps:
- The next screen will prompt you to enter your password. If you've forgotten your Exxat Prism password, please click on the "Forgot Password" link.
- Click on "Reset your password" and follow steps to create a new password.
Getting Help and Support
Exxat Prism offers multiple avenues for help and support:
- Question Icon: To get help, click on the question icon. The Help page will give you access to Exxat’s help center (how-to guides to help you use Exxat Prism) and provide you with the ability to submit tickets to our support team and view previously uploaded tickets.
- Chat Feature: Another way to connect with our support team is to use our chat feature, which is located at the top of the page. Click on the chat button and you will be connected with a member of our support team.
- Ask Leo: Click on the Ask Leo button to chat with our AI chatbot Leo.
- Support Ticket: To raise a support ticket, please click on the Question Mark icon. Here you can select 'Report a Problem' radio button if you are facing technical issues in the system, 'Suggest a Feature' radio button if you want to request a new feature that needs to be added in the system, 'Ask a Question' radio button if you want to ask a simple workflow or navigation-related question. Then enter the Title in the 'Title' section, type the details in the 'Description' area.
- Account Settings: To change the theme, accessibility mode, or change your password, click the dropdown arrow next to your name.
Additional Notes
- Browser Compatibility: Please note, Internet Explorer is not a supported browser.
- Coursework Tab: Click on Coursework tab from your left-menu or dashboard.
- Profile Section: Be sure to read the Guidelines for Students section on the left to learn what type of documentation your program requires.
