Navigating the Charter Oak Student Portal: A Comprehensive Guide
Charter Oak State College provides its students, faculty, and staff with a comprehensive online portal, MyCharterOak, designed to streamline academic and administrative processes. This article serves as a guide to effectively using the Charter Oak student portal, covering everything from registration and financial aid to security measures and academic policies.
Accessing and Logging In
The primary gateway to all student resources is the MyCharterOak student portal. To access it, navigate to the Charter Oak State College website and locate the link to the portal. To log in, you will need your username and password. If you do not have a registration account, you may request one on the Course Search page in MyCharterOak. Visiting students can obtain a username and password by filling out the Registration Request form.
Course Registration
Online Registration Process
All students are required to use the online registration system within the MyCharterOak student portal to register for courses, irrespective of their payment method. The following steps outline the online registration process:
- Log in: Go to the MyCharterOak student portal and log in with your username and password.
- Search for courses: On your Student tab and home page, you will find the ability to search for available courses.
- Select courses: Select the courses you would like to add to your schedule.
- Registration steps: Follow the registration steps (you must be logged in to do this).
- Submit registration: You must click on the Submit Registration link at the bottom of the page to reserve a space in the course(s).
Visiting Students
Charter Oak welcomes visiting students who wish to take online classes without being enrolled in a full program. As a visiting student, you can enroll in individual courses while continuing your main studies elsewhere.
Course Withdrawal and Refunds
For specific dates and information regarding course withdrawal, please navigate to the Academic Calendar and Registration Policies section of the student portal. Refunds apply to tuition charges only, as fees are non-refundable. It is crucial for financial aid students to be aware of the implications of course withdrawal on their financial aid packages.

Financial Aid
Accessing Financial Aid Information
Access to financial aid information is exclusively available to current students and applicants. The Charter Oak Financial Aid section of the portal provides resources and guidance on managing your financial aid. When exploring loan options, it's advisable to consider federal student loans before exploring any private or alternative loan.
Office of Early Childhood (OEC) Scholarship Fund
Students who are employees of a community-based program, including School Readiness or Head Start programs, may be eligible for assistance in paying for their tuition and related fees, including books, through the Office of Early Childhood (OEC) Scholarship Fund. An authorized letter must cite the specific courses and fees covered by the third-party payer.
Academic Records
The Registrar’s Office is responsible for the maintenance and security of all student academic records for undergraduate, graduate, current, and former students.
Security Measures
Multi-Factor Authentication (MFA)
Securing your personal data is a high priority for Charter Oak State College, and the college requires you to secure your account access into their IT systems using multi-factor authentication (MFA).
Phishing and Security Awareness
There have been real instances of sophisticated attacks against Charter Oak’s students, faculty, and staff. These attackers have posed as Charter Oak Tech Support in order to attempt obtaining all the information and access necessary for commandeering the targeted persons’ accounts, as well as stealing their identity.

A common tactic is to use an ‘account shutdown warning’. Do not respond directly to that message. Do not share that code with anyone and, as quickly as possible, change your password for that account. Then review all recent activity for that account and all the privacy and security settings to determine if you need to take further steps. When any holiday season is approaching, please be aware that these same types of attacks will be used much more frequently to attempt stealing account and banking information.
Searching Within the Portal
The search functionality within the Charter Oak student portal is designed to help you quickly find the information you need. Here are some tips for effective searching:
- Term Matching: Results will be returned that contain all of the terms entered. For example searching for bus schedule would return anything that contains both bus and schedule in any order but not only bus or schedule by themselves.
- Contextual Search: Searching while you are within a course or group will return results found within that course or group. If there are no results within the course or group you will be shown results for your term from everywhere.
- Include or Exclude Terms: You can use + or - to include or exclude search results. For example, the search +schedule -bus will return results that contain the word schedule but not the word bus.
- Exact Matches: Put a word or phrase in quotes to find exact matches. Searching for "bus schedule" will search for the exact phrase bus schedule with no other words between those two.
- Wildcards: You can add * at the end of a term to find results that start with that term. Searching for book* will return results for book, books, bookmark, and bookmarks. (You can also add * in the middle of a term)
- Common Words: Common words such as and, the and of are excluded from the search. To force them to be included, put a + in front of them.
- Special Characters: The characters && || ! ( ) { } [ ] ^ ~ * ? : \ have special functions and aren’t searched for. If you need to find results that include one of those, you can put a \ in front of it and it will be searched for like a regular character.
Academic Honesty
A fundamental tenet of all educational institutions is academic honesty; academic work depends upon respect and acknowledgement of the research and ideas of others.
Changes and Considerations
Transfer Credit Policies
The list of accepted transfer credit sources feels limited, and it’s not always clear which courses will transfer. Even if a provider is listed, there’s still a chance the credits won’t be accepted. That uncertainty can make it hard to plan.
Alumni Engagement
Charter Oak State College values its alumni and encourages their continued engagement with the institution. Alumni are encouraged to join the Alumni Association Board of Directors.

Dr. Ferreira joined last night's Alumni Association Board meeting. They are proposing that programs with majors will have a 30 credit in-house requirement in keeping with NECHE's standards. But, because NECHE has grandfathered in the Bachelor's degree in General Studies with its wide variety of concentrations as not subject to this standard, this program will not change. In this program, one will continue to be able to transfer in up to 114 credits and take only the Cornerstone and Capstone courses. The reason they're persnickety about non-collegiate sources of credit is that their faculty have reviewed them and reported that a lot of those courses are of dubious quality. They're trying to accept as many as they can without including courses that are too easily gamed, to avoid COSC's reputation being degraded.
