Baylor College of Medicine Financial Aid Requirements: A Comprehensive Guide

Navigating the world of financial aid can be daunting, especially for students pursuing advanced degrees in medicine and health professions. This article provides a detailed overview of the financial aid requirements at Baylor College of Medicine, covering eligibility, application processes, disbursement schedules, and satisfactory academic progress.

Determining Financial Aid Eligibility

Baylor College of Medicine (BCM) strives to make education accessible by offering various financial aid options. Financial eligibility is determined based on a comprehensive assessment of your financial resources and the cost of attendance. This includes:

  • Tuition and fees: The direct costs associated with enrollment.
  • Room and meals: Expenses for housing and food.
  • Transportation: Costs related to commuting or traveling to and from campus.
  • Books and supplies: Expenditures for required textbooks and course materials.
  • Personal/miscellaneous expenses: An allowance for essential personal needs.

Application Process: A Step-by-Step Guide

To be considered for financial aid at Baylor College of Medicine, students must complete several steps. Accuracy and timeliness are paramount. Here's what you need to do:

  1. Complete Application Forms: Fill out all application forms accurately and submit them on time to the Office of Student Financial Aid or the appropriate central processor (for the FAFSA or CSS Profile).
  2. Provide Accurate Information: Misrepresentation of information on a financial aid application is a violation of federal law. Ensure all details are correct and truthful.
  3. Submit Additional Documentation: Promptly supply any additional documentation or information requested by the Office of Student Financial Aid or the agency to which you submitted your application.
  4. Review and Retain Copies: Carefully read all forms that require a signature and keep copies for your records.
  5. Accept Responsibility: Understand and accept responsibility for all agreements signed.

Key Responsibilities of Financial Aid Recipients

Receiving financial aid comes with certain responsibilities. Students must:

  • Promissory Notes: Sign promissory notes for student loans and adhere to the repayment schedule.
  • Notification of Changes: Notify the school and loan servicer agency of any changes in name, address, social security number, or attendance status.
  • Entrance and Exit Counseling: Complete entrance counseling before receiving the first loan disbursement and exit counseling before leaving Baylor.
  • Federal Work-Study: If accepting a federal work-study position, perform the agreed-upon work.
  • Institutional Refund Policy: Familiarize yourself with the Institutional Refund Policy.
  • Exit Interview: Schedule an exit interview with Student Account Services when graduating or leaving Baylor College of Medicine for any reason.
  • Loan Deferment: Provide any requested forms to defer repayment of student loans, if applicable.
  • Outside Aid: Notify the Office of Student Financial Aid when additional financial aid is received from outside sources.
  • Benefactor Acknowledgment: Provide a personal thank you letter to a benefactor, as requested by Institutional Advancement and Executive Administration.

Funding Sources

Baylor College of Medicine students have access to a variety of funding sources to help finance their education:

  • Federal Student Aid: The primary funding sources are listed at Federal Student Aid published by the Department of Education.
  • Health Professions Loans and Grants: Federal loan and grant programs are specifically designed for health professions students.
  • Outside Scholarships and Loans: Professional societies, state agencies, and other associations may offer scholarships or low-interest loan programs. The Office of Student Financial Aid makes available to students any information it receives concerning outside scholarship opportunities.

It is recommended that students carefully study the many programs that are available. Become familiar with the various interest rates, repayment periods, annual and aggregate loan limits, and the services provided by the agencies that provide these resources. Discuss your anticipated need for financial assistance with your family and be aware of the amount of debt you may have to repay once you complete your studies. Financial aid counseling is available to all students. This policy applies to those students receiving Title IV financial aid.

Federal Loan Returns

Federal loan funds may be returned through the school within 115 days from the time they were credited to the student tuition account. No interest or loan fee is charged on the portion of the loan that is returned before this deadline. The student must ensure these funds are returned within 115 days of disbursement (allowing five business days if paying by check or e-check).

Time Limits on Financial Aid Eligibility

A student will be permitted a time limit of 150 percent the length of the standard required length of study as a full-time student to complete the program for which he or she is enrolled.

  • Doctor of Medicine/Research Pathway: Standard: 60 Months. Maximum: 90 Months
  • Doctor of Medicine/Joint Doctorate GSBS: Standard: 96 Months. Maximum: 144 Months
  • Doctor of Medicine/Joint Masters: Standard: 63 Months. Maximum: 95 Months
  • Doctor of Medicine/Joint Doctorate: Standard: 84 Months. Maximum: 126 Months
  • Clinical Phase - Doctor of Medicine: Standard: 24 Months. Maximum: 36 Months

Transfer students completing only the Clinical Phase of training at Baylor College of Medicine will be permitted a time limit of 150 percent the length of the standard required length of study to complete the clinical phase.

Satisfactory Academic Progress (SAP)

Maintaining satisfactory academic progress is crucial for continued financial aid eligibility. Baylor College of Medicine's School of Medicine does not measure academic progress by means of a cumulative grade point average. The student is required to complete all required courses in the curriculum with a passing grade in order to graduate. Therefore, grade performance as a measure of satisfactory academic progress for financial aid eligibility must be reviewed in the context of each course for which the student registers. The standards of academic progress are based on the guidelines used by the Committee on Student Promotion and Academic Achievement, who determine whether a student is making Satisfactory Academic Progress. The following standards for financial aid eligibility have been established:

Medical Students

A student’s academic progress for financial aid purposes will be reviewed in accordance with the guidelines used by Committee on Student Promotion and Academic Achievement. Any student required to remediate or repeat coursework will be reviewed by the Office of Student Financial Aid at the end of Fall 1, Spring 1 and Fall 2. Third and fourth year students will be reviewed on advice from the Committee on Student Promotion and Academic Achievement.

Probation and Appeals

A student placed on probation or suspension may submit a written appeal to the Financial Aid Subcommittee of the Student Services Committee outlining:

  • Reasons why he/she did not achieve minimum academic standards.
  • Reasons why his/her aid eligibility should not be terminated or should be reinstated if the aid has been terminated.

Each appeal will be considered on its own merit. Individual cases will not be considered as a precedent. The financial aid process will be on hold and funding will not be provided for the individual student during the process of an appeal of suspension.

The Financial Aid Subcommittee will review the appeal within three weeks of its receipt and determine if exceptional circumstances exist. The Office of Student Financial Aid will be advised in writing of the decision within one week of the appeal's consideration. A student shall be reinstated for financial aid eligibility at such time as he or she successfully remediates any deficiency in meeting eligibility requirements as set forth in this policy. The Office of the Dean of Medicine shall have the primary responsibility for enforcing this policy.

Types of Financial Aid

Baylor College of Medicine offers two primary types of financial aid: merit-based scholarships and need-based financial aid.

Merit-Based Scholarships

Your comprehensive academic record and a full review of your completed Baylor application file determine your eligibility for a Baylor merit-based scholarship. No additional application is required. All applicants are considered for merit-based scholarships when they apply, including students who apply as test optional. Very few students pay the full cost-of-attendance “sticker price” and over 84% receive merit-based scholarships.

Need-Based Financial Aid

To be considered for the maximum amount of need-based financial aid, you must submit BOTH of the following applications:

  • Free Application for Federal Student Aid (FAFSA®): Baylor's FAFSA® code is 3545
  • CSS Profile: Baylor's CSS Profile code is 6032

2025-2026 Academic Year

To be considered for the maximum amount of financial aid, students must submit both the 2025-2026 Free Application for Federal Student Aid (FAFSA®) and the CSS Profile. The CSS Profile opens October 1 and the FAFSA opens later in December. Both applications should be submitted by the priority deadline to be considered for the most available funds.

  • Freshman Early Decision and Early Action Priority Deadline: November 1
  • Final Deadline to submit the CSS Profile for all Freshman & Transfer Admission Plans: February 1

If you miss the final deadline, please submit an application as soon as possible to be considered for any remaining funds.

PLEASE NOTE: Once you submit the FAFSA® and CSS Profile, it may not be reflected in your goBAYLOR account until a few weeks later as files are processed. You can check the status of your CSS Profile here, and as long as it is considered "Submitted," there is no further action for you to take. Returning students can also use the portal to review their aid status, or to check for missing documents.

If offered an Institutional Loan, a promissory note must be completed.

Financial Aid Disbursement

Generally, financial aid is disbursed at the beginning of each semester if all necessary requirements have been fulfilled. All financial aid (loans, merit- and need- based scholarships) is first credited toward billing charges (e.g., tuition and fees) before a refund is issued by Student Account Services. To view your student account balance and pending financial aid at any time, please log in to the BCM CAMS Student Portal (returning students only). Once all charges are paid, any remaining credit balance will be refunded to the student to be used to pay for indirect expenses such as books, supplies and living expenses. Refunds are processed by the Office of Student Account Services.
